Senior Administrative Assistant to the Senior VP, Fundraising & Marketing

The Foundation is currently recruiting for the position of Senior Administrative Assistant. We are seeking a confident and energetic administrator, a self-motivated professional with project management abilities, tact and enthusiasm.

Position Summary
As a key member of the Foundation team, the Senior Administrative Assistant’s primary focus is to ensure the effective use of the Senior Vice President’s time. The Senior Administrative Assistant is responsible for linking people and projects together to ensure maximum results for the organization. This position manages the Senior Vice President’s calendar, schedule and contacts and arranges the many aspects of large meetings and committee meetings (with many participants from without the Foundation including medical, hospital and research leadership). The position drafts and prepares a wide range of materials, including presentations, Board information and correspondence for review by the Senior Vice President and coordinates budgets of the Major Gifts Fundraising, Planned Giving, Strategic Initiatives, Marketing, and Donor Relations and Events departments. This position reviews and maintains the administrative systems required for the effective and efficient operation of the Fundraising & Marketing departments in support of the Foundation’s activities and collaborates with senior administrative support team to ensure systems and processes are streamlined and effective.

Education & Experience
• Completed Post-Secondary education: administrative or business-related programs preferred

• 5 years experience in a position where administrative support was provided to a team or in an executive capacity

• Sales and Marketing experience an asset

Required Skills/Attributes
• Demonstrated ability to work with confidential information and maintain confidentiality

• Exceptional interpersonal skills. Ability to work effectively with staff, Board members, donors, external agencies and organizations and the general public with tact and diplomacy

• Demonstrated administrative/secretarial and organizational skills with meticulous attention to detail

• Excellent computer skills with extensive experience with PC applications (including Word, Excel, PowerPoint, Publisher and contact management or fundraising software); Raiser’s Edge knowledge and experience an asset

• Excellent verbal and written communication skills

• Demonstrated initiative to analyze and resolve problems quickly and efficiently

• Ability to work under pressure and calmly maintain priorities when deadlines frequently change

• Works well in a team environment as well as independently

• Positive attitude and strong “get-the-job-done” work ethic
